Spring clean your biz: 12 things to check before the end-of-year rush hits

First day of September… Spring is here! And while everyone is looking forward to some warmer weather, we’re thinking about your business.

Every business has its list of “must get to” jobs that tend to hang about until, suddenly, the end of the year arrives, clinics close down for the holiday period, and business owners find themselves saying, “I’ll have to sort that out while I’m on leave.”

That’s madness!

Let’s tackle them now, so you can manage the year’s wrap-up with ease and give yourself the break you’ve earned and deserve.

Most of us remember the old days of piled paperwork and client documents. Thankfully, we’re mostly digital now, but that doesn’t mean the “piles” have gone away…

 

Business admin

Managing your own client system? This section is for you.

Our long-term clients hand this work over to us, but if you're managing your own clinical admin, September is a good time to check what's happening behind the scenes.

1. Clean up your financials

  • Are your financials up to date and reconciled?

  • Have all your clients’ invoices and outstanding accounts been paid and monies received?

  • If we asked you where you’re at with income, expenses, and cashflow, would you be able to tell us confidently?

  • If you answered ‘No’ to any of these questions, then “Houston, we have a problem.” The long-term success of your business relies on you managing its resources well.

2. Check your Halaxy configurations

  • Look beyond your client records and appointments.

  • Run a currency check on your fees, invoices, email templates, automated communications, billing settings, and practitioner details.

  • These things change quietly while you're busy doing everything else.

3. Re-walk your client journey

  • Think: Booking Intake Appointment Payment Follow-up.

  • Are clients receiving the correct forms and emails?

  • Are you still doing tasks manually that your system could handle? If you do the same admin task repeatedly, look for a better way.

4. Check your SEO settings.

  • Not simply whether your website "has SEO".

  • Look at your SEO page titles, page descriptions, heading tags, and keywords.

  • Do they still describe your business, services, locations and clients accurately?

  • Your website may have been right when you launched it, but businesses evolve over time.

5. Click your own buttons.

  • Forms, booking links, email address links, social links, payment links. Check them all.

  • Clients won’t always tell you when something isn’t working the way it should.

  • And websites don't tell you when something stops working. They simply sit there, looking innocent.

6. Check the other places your business appears.

  • Your website might be current while your Google Business Profile, directories, booking system, email footer, or downloadable documents contain out-of-date information.

  • Rule of thumb: The same info, for the same business, everywhere.

Social Media

7. Read your bio.

  • Does it still describe what you actually do?

  • Check your services, location, audience, and booking information for currency.

8. Check your pinned posts and highlights.

  • Are they still relevant?

  • Old promotions, expired events, and outdated services have a habit of hanging around.

  • Your profile is your shop window. Give it some Windex!

9. Test your links.

  • Where does your bio link take people?

  • Can they work out what to do when they get there?

  • A great social profile won't help much if the link underneath it leads somewhere confusing.

Mindset

10. What are you still doing because "it's easier if I do it myself"?

  • Is it? Or have you become very good at tolerating work you don't enjoy?

  • Write down what drains your time and energy. Circle anything someone else could do.

11. What decisions are you avoiding?

  • The website update...

  • The price increase...

  • The new service or program...

  • The broken integration...

  • The outsourcing conversation...

  • Managing a business means making decisions before everything feels certain.

12. Make a plan and get underway

  • Knowing what needs attention is one thing. Actually doing it is where business ownership gets real.

  • Choose the very next step, put it in the diary, ask for help where you need it, and follow it through.

  • Your business will only grow as far as you’re willing to grow with it. We can’t enjoy success if we don’t first learn to embrace the mundane.

  • Your mindset is part of your business infrastructure. Maintain it accordingly.
